Privacy Notice

This notice covers the WKUC Hope Gateway — the OneVoice27 “All Things New” campaign site at wkusda.org — and describes what we collect when you visit or respond, why, and what you can do about it.

A note on this notice. This page was written to satisfy the specific gaps a September 2026 security review identified — until then, this campaign pointed to a general ministry privacy page that didn’t describe this site’s own data handling. It should be reviewed and, where needed, adjusted by the union’s designated Data Protection contact before being treated as final policy. It is not a substitute for legal advice.

Who this is

The Hope Gateway is operated by West Kenya Union Conference for the OneVoice27 · All Things New campaign. Questions about this notice, or about what we hold about you, can be sent through the WhatsApp line below.

What we collect

When you respond to a next step (prayer, Bible study, baptism, or a conversation), we ask for:

Your name (first name only is ever shown publicly, and only with your separate consent)
A phone number or email address, so a responder can reach you
Your county and country
Whatever you choose to write in the message field
Which next step you chose, and how you found the site (a QR poster, a share link, and so on)

Simply browsing the site also records anonymous interaction data — page views, which section you read, a coarse device type and country — tied to a random identifier in your browser, never to your name, unless and until you submit a form. Why we collect it, and on what basis

We process this information with your consent, which you give separately for each purpose, in line with the Kenya Data Protection Act, 2019:

Ministry follow-up (required to submit a request) — so a trained responder can reach you about what you asked for.
Public display (optional, off unless you tick it) — showing your first name and county on the site’s live activity wall.
Occasional updates (optional, off unless you tick it) — being contacted about the wider OneVoice27 campaign.

Withdrawing any of these does not affect the lawfulness of anything already done with your consent beforehand.

The public live wall

The wall never shows your name or county unless you separately ticked the display box — everyone else appears as “Someone.” A county is only ever named publicly once at least three people have responded from it, so a single response from a small area is never singled out. Your phone number, email address and whatever you wrote are never shown on the wall, and never leave the confidential record a responder works from.

How long we keep it

Draft retention, pending formal sign-off by the union’s Data Protection contact:

Ministry responses (contact details and messages): kept for the life of the pastoral relationship, reviewed at least yearly, and deleted or anonymised once follow-up is complete and no further contact is expected.
Anonymous interaction data: kept up to 12 months for campaign reporting, then deleted.
Access logs for the internal dashboard (who looked up which reference): kept 12 months for audit purposes.

Who else processes it

We use a small number of infrastructure providers to run this site, each bound to process data only as we instruct:

Vercel — hosts the application and its serverless functions.
Neon — hosts the Postgres database. Contact details and message text are encrypted before they ever reach it.
Meta / WhatsApp — carries the conversation once you choose to open the WhatsApp handoff. That message is sent from your own device, not by us on your behalf.

We do not sell data, and we do not share it with advertising platforms.

Your rights

Under the Kenya Data Protection Act you can ask what we hold about you, ask us to correct it, ask us to delete it, or withdraw any consent you gave — including removing your entry from the public wall. Send that request through the WhatsApp line below; we will confirm what we’ve done.

If you are not satisfied with our response, you may complain to the Office of the Data Protection Commissioner, Kenya — odpc.go.ke.

Cookies and similar technology

We don’t set tracking cookies for visitors. The site does use your browser’s own local storage to remember a random session identifier and, once you choose, your cookie preference — both stay on your device and are never sold or shared with advertisers. You can change your choice any time using the link in the footer.

Changes to this notice

If this notice changes, the effective date at the top of this page will change too. Consent already recorded references the version in effect at the time it was given.
